We are seeking a talented Executive Assistant to be the “right hand” to a Corporate Vice-President & General Manager who works closely with one of our largest strategic partners.  In this role, you will be the centerpoint of a team that is customer-focused, fast-paced, always “on” and has a “do what it takes” mindset.  Not bound by convention, the team is experiencing significant demand as we work with our partner to identify, grow and develop leading-edge, semi-custom solutions.

 

As the ideal candidate, you possess an undergraduate degree (graduate degree a plus) and demonstrated experience working at the C-level in a global technology company.  You are highly motivated, a quick learner, and a team player who thrives in a fast-paced, dynamic environment. What You’ll Do

  • Be the key point of contact for key stakeholders, customers and executive visitors
  • Build strong relationships and work closely with stakeholders, customers and internal/external Executive Assistants to optimize effective meetings, calls, travel logistics, etc.
  • “Own” the CVP & GM’s calendar, be a “gatekeeper”, prioritizing appointments, arranging and attending key meetings/offsite events and arranging frequent domestic/international travel
  • Attend meetings, document outcomes/outstanding items, actions/owners and support/track progress of same
  • Answer general inquiries and escalate issues to appropriate department members for resolution
  • Proactively gather/analyze data to prepare reports/presentations, and develop formal business communications from rough drafts; collaborate with external sources to prepare executive presentation material
  • Set up and maintain confidential/proprietary files and record retention schedules
  • Support financial processes including budgets, contracts, purchase orders, payments, vendor relations, etc.;
  • Support department growth by working closely with recruiting team to schedule candidate interviews
  • File expense reports, order equipment, maintain departmental supplies

 

Your Profile

  • Undergraduate degree (BA/BS); graduate degree a plus
  • Experience working in a customer-focused role
  • Ability to build relationships with people at all levels, internally and externally
  • Superior communication skills with ability to discreetly handle confidential information
  • Highly organized, able to prioritize and juggle multiple work streams to tight deadlines, anticipate needs and take initiative
  • Ability to build/change and arrange domestic/international meetings and travel
  • Experience working independently as well as part of a team
  • Experience working with colleagues domestically and internationally
  • Proficient in MS Office Suite (i.e. Outlook, PowerPoint, Excel, Word, SharePoint), Skype audio and video conference, iOS applications, etc.; ability to learn other internal software
