Executive Assistant

The Role:

This role shall serve as the Executive Assistant to the Corporate VP of the Machine Learning Software Engineering (MLSE) team within the Radeon SW organization. This role will also provide support to members of the MLSE leadership team and their respective teams.

Key Responsibilities:

  • Lead the Executive calendar; Prioritize appointments as necessary.
  • Coordinate major offsite meetings and Executive travel.
  • Arrange domestic and international travel (including acquiring foreign visa’s) schedule and reservations for Executive and Executive’s direct staff members. Upon completion of travel, prepare expense reports and ensure submission in a timely fashion.
  • Interface with various levels of management, customers, and other executive visitors; Redirect inquiries and problems to staff members for response and resolution as necessary.
  • Be aware of and keep up to date on Company Policies
  • Review and answer mail and inquires on own initiative and resolve if executive action is required
  • Exercise judgment and initiative with high degree of flexibility
  • Prepare word processing, report or presentation preparation as requested by Executive.
  • Be mentor to other Administrative Staff
  • Order and maintain inventory of departmental supplies; Coordinate necessary equipment or facilities repairs or changes
  • Support the department’s financial processes, including budgets, contracts, purchase orders, payments, vendor relations, etc.
  • Anticipate needs of VP with little mentorship or direction
  • Act always with a high sense of responsiveness and vitality

Preferred Experience:

  • Direct work experience in a sophisticated C- Suite environment supporting a VP, Corporate VP or Executive VP
  • Minimum of 5 years experience of administrative support at a senior level
  • Strong organizational and communication skills; ability to work independently as well as part of a team
  • Ability to use a variety of sophisticated office automation tools and software, including proficiency in PowerPoint, Excel, Word, SharePoint, SAP
  • Ability to collaborate with different levels since of management, customers, and employees to exchange information and take appropriate action
  • Strong multi-talking skills
  • Demonstrated ability to exercise judgment and initiative with high degree of flexibility and responsiveness

Academic Credentials:

  • High school graduate and completion of business/secretarial school or equivalent experience.
