Site Administrative Specialist (part-time) - Poland



We are looking for our next team member to join our Poland team part time to help with administrative support, as our "go to" person, supporting our local Poland team members, HR and finance locally. This role is a permanent position that works remotely.



  • Strong communication skills, both written and oral in English and Polish
  • Ability to balance and prioritize multiple tasks in a fast-paced environment
  • Capable of working with all levels of management, maintaining a high degree of confidentiality
  • Ability to work independently on projects with minimal direction
  • Strong interpersonal communication skills
  • Solid customer-service orientation and approachable demeanor
  • Attention to detail, taking pride in the quality of all outgoing materials and correspondence
  • High level of initiative and organization



Primary responsibilities include but are not limited to:

  • Provide administrative support to the team’s Poland based employees, incl. verification of expense reports
  • Maintain and engage local vendors for both products (office supplies, computer hardware) and services
  • Collect and manage incoming post and translate communications and forward to relevant stakeholders as needed
  • Work closely with HR to manage task-specific employee lifecycle events (eg., new hire equipment coordination, local benefit administration, team events)
  • Forward and/or process incoming invoices
  • Enter and track PO’s and invoices in the SAP system
  • Work with HR and Finance to support other in-country administrative needs
  • Optimize and document office management processes and results
  • Work on special projects and duties assigned with a service oriented mindset
  • Absence cover for other site admins in the region, as needed
  • Assist local and visiting managers and employees with visas, travel-planning, reserving hotels, supporting events & meetings



  • Proficient with Microsoft office suite
  • Vocational training or equivalent experience
  • Relevant work experience for a similar international company
  • Advanced skills and experience with MS Office Applications



  • Undergraduate Degree a plus, but not needed
